Registrar’s Office

The Registrar’s Office serves as a primary information resource for all students and faculty. Located in C120 on the main campus, the Registrar’s Office handles changes to your personal information, major changes, residency reclassification, transfer evaluations, registration, degree audit questions, appeals, grades, verifications, academic transcripts, academic policies, and graduation.

Military and Veterans Services

The Registrar is also the VA School Certifying Official and point of contact for Military and Veterans Services. The Registrar’s Office can provide information about eligibility, registration processes, financial aid, GI Bill ®, and many other college resources. Graduation Requirements

  • The associate degree is awarded upon the successful completion of any one of the two-year programs. A certificate is awarded upon the successful completion of any of the one-year certificate programs or short-term technical certificate programs.

     

  • Must apply for graduation by the published deadlines

     

  • Participation in the graduation ceremony is optional, but all students must apply for graduation in order to receive a diploma.

Graduation Requirements

  • Students must:
    • Successfully complete all required courses in their program. Certain majors require a “C” grade or better in certain courses to meet graduation requirements. Each required course in which an “F” grade is received must be repeated.
    • Attain a 2.0 grade point average in their technical courses. The cumulative technical point average (CUM TECH GPA) is obtained at the conclusion of each semester by dividing the number of credit points earned by the number of credit hours the student has attempted in technical courses only. Technical courses are designated by a “+” in front of the course number under each technology in this catalog.
    • Maintain a cumulative grade point average of 2.0 in all courses.
    • Complete 30 percent of the credits from Northwest State Community College
  • Students are eligible to receive only one degree within a technology but may have more than one major. All majors are listed on the student’s transcript. Diplomas are issued for each degree within a technology. Students applying for a certificate and associate degree within the same technology at the same time will be awarded the higher degree only. Students wishing to receive dual degree/dual technologies must meet with their academic advisor to fulfill their programs of study.
  • All petitions for graduation must be completed by the date established by the Registrar’s Office. Students who do not complete requirements for a degree or certificate within the academic year of submitting a petition must reapply for graduation. A graduation petition is available on the Registrar’s Office web page and in the office.

Graduation with Honors

  • Any student graduating with a cumulative point average of 3.50 or higher will be graduated with honors as follows:
    • 3.50 – 3.74 Cum Laude
    • 3.75 – 3.89 Magna Cum Laude
    • 3.90 – 4.00 Summa Cum Laude
  • A notation of this honor will be placed on the student’s diploma and transcript.

  • You receive email notifications when transcripts are processed and received.
  • Parchment offers online tracking capabilities.
  • The ability to upload additional or supplemental forms that are required by the receiving entity to accompany the transcript (ex. AMCAS, etc.).

  • There is no charge when ordering a transcript using the transcript request form. These requests are processed in 5-7 business days and mailed via U.S.P.S. We cannot track your transcript once it leaves NSCC. If you want to track the transcript, it would be best to do the e-transcript option.

Course Registration

  • Notice: Failure to attend classes or give proper written intention to withdraw will result in failure of a course. Students will be academically and/or financially responsible for any “W” or “F” grades received. The adding or dropping of courses requires the student to contact the Financial Aid Department and/or the Business Office to adjust the aid or make payment.

     

  • A student takes full responsibility for adding or dropping courses. This can be done through myNSCC or by completing an Add-Drop Form and returning it to the Registrar’s Office in C120.

Waitlist Classes

  • The purpose of waitlisting is to allow learners to get in a queue for available openings once a course becomes full. It is also intended to help the faculty and administration determine when extra course sections should be added based on demand.
  • How does it work? Learners that are waitlisted receive a message at their NSCC email address when an opening is available and the opening is held for 24 hours. The email message states the deadline to register. Once the deadline has expired the next person on the waitlist is notified. View our myNSCC Reference Guide for more information.
  • If you DECLINE the offered opening, and no longer want the course, please be considerate and remove yourself from the waitlist. This allows other waitlisted learners to receive notification of available openings in a more timely fashion.

Auditing Classes

  • The term “audit” refers to a course which is taken without credit. Courses taken on this basis are not included in the computation of the cumulative grade point average and are not applicable to graduation requirements. A student must elect audit status at the time of registration or take action to change to audit during the refund period for that class length.
  • Class length: 1 week or less = enroll as audit; 2 wks to 7 wks = 1 week to change to audit; 8 wks to 15 wks = 2 weeks to change to audit; 16 wks = 3 weeks to change to audit
  • The student initiates such action through the Registrar’s Office. Students auditing a course will pay the same fees as if the course was being taken for credit.
Add, Drop or Withdrawal Classes

Adding Classes

  • All courses must be added prior to the first day of class for the specific term. All course additions must have written approval of the instructor and the Dean once classes have started. All added courses will be charged the full tuition rate.
  • Registering for more than 20 credit hours in the fall or spring terms or more than 10 hours in the summer term require a student to obtain permission from the Dean or Vice President for Academics.

Dropping Classes

  • Students may drop courses online through myNSCC during the 100% tuition refund period for a specific course. Check the Refund and Withdraw Schedule to determine what the drop period is for each course.

    Withdrawing from Classes

    • Dropping a course after the 100% tuition refund period is a “withdrawal,” which may be completed through myNSCC, in-person in the Registrar’s Office, or by emailing the Registrar’s Office at registrar@northweststate.edu.
    • Withdraw policy for courses (see the Refund and Withdraw Schedule for dates) 
      • Courses 3 weeks or less: no withdrawal option
      • Courses 4-7 weeks: end of the second week to withdraw
      • Courses 8-15 weeks: end of the fourth week to withdraw
      • Courses 16 weeks or longer: end of the eighth week to withdraw

      Military Withdrawal

      • Withdrawals due to military activation during a semester will require the student to withdraw from classes at the time of activation, at which time a “W” will be assigned. Upon receipt of a copy of the student’s actual military activation orders, the College will refund 100% of the student’s tuition and fees for the semester, and any “W” grade will be changed to a “WM” to signify a military withdrawal on the transcript. Upon returning to college the student is required to submit copy of the DD214. 

      Late Withdrawal

        • Learners with extenuating circumstances that made it impossible to drop or withdraw from a course by the established deadlines may submit a Withdrawal Form and third party documentation to the Registrar’s Office.

      Change Residency Status

      • If you have recently moved in state, you will need to change your residency status with NSCC. Northwest State Community College must abide by the residency eligibility criteria established by the Ohio Revised Code 3333-31 and Ohio Administrative Code 3333-1-10. Petitions requesting residency change are due by the first day of the semester. Retroactive residency determinations cannot be made for tuition surcharge purposes.  Students petitioning to change their residency status must do so by completing the application that applies to them.

      • If you have recently moved out of state, you may no longer be eligible for in state tuition rates. Please contact the Registrar’s Office for further details.

      • Ohio high school graduates who relocate to Ohio and establish a primary residence in Ohio by the first day of classes are eligible for the In-State Tuition rate.

      Ohio G.I. Promise

        • Upon moving to Ohio, veterans with one year of honorable service (and their dependents) are immediately considered in-state residents for the purposes of tuition, state educational subsidies and financial aid. Active duty, guard, reserve service members, and their families are also eligible for this educational benefit.

      Residency Status Change

        • Students must petition for residency status change by submitting the In-State Residency Petition, along with required documentation that demonstrates they have established residency in Ohio. Residency is based on the rules as defined by the Ohio Revised Code 3333.31.

      Reciprocity for Eligible Indiana Residents

        • Under the tuition reciprocity agreement with the Ohio Department of Higher Education and Indiana Commission for Higher Education, Northwest State Community College accepts at Ohio resident tuition rates any Indiana resident of Adams, Allen, Blackford, Clark, DeKalb, Dearborn, Decatur, Delaware, Fayette, Floyd, Franklin, Harrison, Henry, Jay, Jefferson, Jennings, Noble, Ohio, Randolph, Ripley, Rush, Scott, Steuben, Switzerland, Union, Wayne, Washington and Wells Counties. Applicants must apply to receive resident tuition rates, enroll at Northwest State Community College and meet requirements for admissions. They must submit documentation to the NSCC Registrar’s Office. Forms submitted after the first date of the term will not be considered for that semester. Once enrolled, the student must maintain satisfactory academic performance.

        NSCC and Indiana Reciprocity

      The Family Educational Rights and Privacy Act (FERPA) and Confidentiality

      The Family Educational Rights and Privacy Act or FERPA (20 U.S.C. §1232g; 34 CFR Part 99) provides certain rights for parents regarding their children’s education records. When a student reaches 18 years of age or attends an institution of postsecondary education at any age, the student becomes an “eligible student,” and all rights under FERPA transfer from the parent to the student. 

      Northwest State Community College rules and procedures regarding student rights and the Family Educational Rights and Privacy Act of 1974, as amended, are published in the college Catalog. 

      (a) Students have a right to access, inspect and review their academic records, as well as limit the release of any such information. 

      (b) A request to inspect and review records shall be made in writing to the Registrar. 

      Student Directory Information

      The College maintains in its sole discretion when and to who it will release student records containing directory information in accordance with FERPA. Generally, the college will not release directory information to non-affiliated, third parties for the purposes of commercial solicitation. 

      Under the provisions of the Family Educational Rights and Privacy Act of 1974, students have the right to withhold the disclosure of any or all of the noted information.  Should a student decide to withhold any information, a Request to Prevent Disclosure of Directory Information form needs to be completed and submitted to the Registrar. Requests will be honored for one academic year or a shorter period of time as designated by the student.  A complete set of FERPA guidelines is available for you to review in the Registrar’s Office.
